Programme Guidelines

GENERAL
We aspire to make this youth exchange programme as inclusive as possible. Therefore we would like to highlight these guidelines as a reminder to all participants. At all times, local laws and regulations need to be followed. This includes all accommodation and venue rules as well. We are guests in the host venues and city, and are not the only ones there. As such, we should be mindful and respectful towards hosts, other participants, and organizers.

DISCRIMINATION, SEXUAL HARASSMENT, OR AGGRESSION
We do not tolerate any form of discrimination, hate speech, sexual harassment, or aggressive behaviour towards other participants, venue guests, facilitators, or others.

It is each participants’s responsibility to maintain an educational and safe environment free from sexual or verbal harassment. Any person found to have sexually harassed, verbally abused, or discriminated against another will face disciplinary action, up to and including dismissal from the project without reimbursement and reporting to local authorities. All complaints of sexual harassment or otherwise will be taken seriously and treated with respect and in confidence. No one will be victimized for making such a complaint.

PRIVACY AND CONFIDENTIALITY
During discussion, group sessions, therapy sessions, and other personal story sharing moments, anything said between any two or more group members at any time is part of the group and is confidential. Everything said in the group is confidential and will remain confidential throughout and beyond the duration of the programme indefinitely. Participants have agreed to keep secret the names of other members of the group and what is said in the group.

Privacy and confidentiality of participants and what is said in the group extend to any forms of media and recording. Sharing pictures, recordings, named stories, or writing about other participants and what they shared in the group on social media is not allowed without explicit consent from each participant involved.

In line with the privacy policy, project reporting will not use any named information shared in confidentiality in the group. Project reporting will only use organizational data such as registration parameters of participants such as nationality and age. Required project reporting on topics will only happen with anonymized data.

SAFE SPACE
To help ensure that our programme is a safe space for participants, especially due to the nature of the topic, the following will be implemented:

  • Trigger Box – Submission box located in a non-discriminate place to allow participants to anonymously share any complaints or subjects that may trigger participants or lead to an unsafe or uncomfortable environment.
  • Daily Reflection and Discussions – Participants have a chance to share their thoughts with others and to group leaders
  • Daily Group Leader Meetings – Group leaders will meet with organizers to share any feedback and to raise any concerns voiced by participants
  • Break is a Break – Out of discussion sessions, breaks and meals are a time to take a deep breath and relax. This means that sensitive discussion topics should not be brought up during breaks. This is to ensure that everyone can truly decompress without fear and anxiety of a triggering or mentally draining topic coming up during casual conversation.

Please keep in mind the above and remember to foster a safe environment that you and other participants will feel comfortable in. If you have more suggestions on how make the environment more comfortable and safer, please feel free to contact us.

HEALTHCARE
Each participant has agreed to follow local and national healthcare guidelines. As these guidelines are always changing, be prepared to meet all healthcare expectations. This may include Covid-19 restrictions or procedures such as wearing a mask, participating in Covid-19 tests, self-isolation or more. CONFLICT AND CONTACT
In case of conflict, please turn to your group leader or the organizers (Chris and Ingrid) for assistance. In case of conflict with any group leader, please turn to the organizers for assistance. In case of any conflicts where you do not feel comfortable sharing with the organizers directly, you may anonymously raise your concern through the trigger box, website contact form, or other anonymous methods.

MENTAL HEALTH WITHOUT BORDERS PRIVACY POLICY

This Privacy Policy describes how your personal information is collected, used, and shared when you visit or make a purchase from https://mhwb.eu (the “Site”).

PERSONAL INFORMATION WE COLLECT
When you visit the Site, we automatically collect certain information about your device, including information about your web browser, IP address, time zone, and some of the cookies that are installed on your device. Additionally, as you browse the Site, we collect information about the individual web pages or products that you view, what websites or search terms referred you to the Site, and information about how you interact with the Site. We refer to this automatically-collected information as “Device Information.”

When we talk about “Personal Information” in this Privacy Policy, we are talking both about Device Information and Order Information.

HOW DO WE USE YOUR PERSONAL INFORMATION?
We use the Order Information that we collect generally to fulfill any orders placed through the Site (including processing your payment information, arranging for shipping, and providing you with invoices and/or order confirmations). Additionally, we use this Order Information to: Communicate with you; Screen our orders for potential risk or fraud; and When in line with the preferences you have shared with us, provide you with information or advertising relating to our products or services.

We use the Device Information that we collect to help us screen for potential risk and fraud (in particular, your IP address), and more generally to improve and optimize our Site (for example, by generating analytics about how our customers browse and interact with the Site, and to assess the success of our marketing and advertising campaigns).

SHARING YOUR PERSONAL INFORMATION
We share your Personal Information with third parties to help us use your Personal Information, as described above. As described above, we use your Personal Information to provide you with targeted advertisements or marketing communications we believe may be of interest to you. Please note that we do not alter our Site’s data collection and use practices when we see a Do Not Track signal from your browser.

YOUR RIGHTS
If you are a European resident, you have the right to access personal information we hold about you and to ask that your personal information be corrected, updated, or deleted. If you would like to exercise this right, please contact us through the contact information below.
Additionally, if you are a European resident we note that we are processing your information in order to fulfill contracts we might have with you (for example if you make an order through the Site), or otherwise to pursue our legitimate business interests listed above. Additionally, please note that your information will be transferred outside of Europe, including to Canada and the United States.

DATA RETENTION
When you place an order through the Site, we will maintain your Order Information for our records unless and until you ask us to delete this information.

CHANGES
We may update this privacy policy from time to time in order to reflect, for example, changes to our practices or for other operational, legal or regulatory reasons.
